[SBU Board] Draft Flyer - Sweetheart Sectional 2018 - Send feedback by 9/30

Folks,

The board must devote sufficient time on Oct 9 to resolve this, at least for Feb.

The sequence of the motions at the Sept meeting was: 1) go daylight in Feb, 2) go daylight in July, 3) add a third session fast pairs in Feb & Jul. We knew there were co-lateral issues to be addressed.

As I recall, the main premise for daylight was that it would better dovetail with Saturday daylight schedules, and it fits with the results of the survey of unit members a year or so ago where approximately 60% preferred daytime schedules. There was very little discussion of the Friday evening session/event beyond having something for working folks to play. We didn't talk much, if at all, about Friday session start times and the gaps between them. Jenni's feedback, below, mentions director coverage and cost issues and points out some potential alternates to what's in the draft flyer.

While the Friday AM setup/traffic concern should be manageable -- so long as enough folks commit and show up on time -- the matter of the Friday evening session seems more weighty to resolve with start time and cost aspects. Perhaps we're trying too hard to have it all -- going daytime while retaining an evening session with only one event for an anticipated small showing?

Ahead of the Oct 9 board meeting, please review and give these matters thought and be prepared to engage toward resolution.

Thanks,
Tim

> I think we all agree there are challenges for setup starting 2 hours earlier. The board believes daytime sessions will get more players engaged and present on Friday, and we are seeing this same schedule in more sectionals across various areas. Currently at our sectionals, very few 1pm players stay for the 7pm because it starts late. The 7pm full/normal session also is challenging for turnaround to 10:30 start on Saturday.
> The addition of the 7pm fast game was meant for working players without keeping the site open as late on Friday. While we wouldn't prohibit the daytime players from playing it if it worked out, we agreed at the meeting that the schedule is not designed for this to be possible, easy, or likely.
> I'm sure there will be discussion based on feedback at the next board meeting. I won't be present to convey the feedback, but I'm sure Ray, Larry, and Tim will help convey this to the rest of the board.

I've prepared a draft flyer, as we are currently reviewing within the board toward finalizing with the ACBL in time for distribution at the Halloween sectional. (Last year's flyer is also attached for reference.) We would appreciate your thoughts and feedback before we finalize.

Thus, I would appreciate it if the board could review by end of this month. Specifically, I will be seeking sign-off from Tim, Ray, and Larry on the schedule and flyer before it is sent to the ACBL for approval. (I will send a separate thread to Matt and Jenni for comment and CC Tim, Ray, and Larry.)
