[SBU Board] Draft Sweetheart Sectional Flyer & Postmortem notes

Hi all,
Attached is the draft Sweetheart 2019 flyer we'll review at tomorrow's
meeting. I highlighted areas that are TBD or which I expect need some
discussion and agreement vs. last year. I will bring printouts of the flyer
and the below notes, captured from the Sweetheart postmortem at our March
meeting. If you won't be at the meeting but want to weigh in, please reply
before tomorrow evening.
1.1 Sweetheart Sectional PostMortem
What went right:
· Setup/teardown went smoothly
· Friday/Saturday were mostly even in attendance vs. last year
· Daylight hours seem to be working, probably at the right balance
of daylight vs. aft/eve hours. (feelings are strong on both sides).
What could improve:
· We heard complaints about fast pairs not being actually timed
fast.
· Lunch break between sessions was too short.
· We need to consider and allow time for awards when planning
session start times. We can also capture awards timing on the flyer.
· Sunday attendance was down. Possible causes are snow, bridge
closure. The biggest losses were in the 0-2500 point range. But tournaments
all over our area are down, so it could also be normal trend.
Other notes:
· Mixed comments on the 3rd Friday session. Some working players
frustrated that no standard pairs game was available. Running a 9 table
game in the evening isn’t worthwhile. Lost money on Friday’s third session.
Chairs noted that a third session isn’t worthwhile for future.
· Could the longer Swiss be a factor reducing attendance? Some
players prefer shorter Swiss but mostly the high level open players
strongly prefer max boards per session.
· Should we send a survey to attendees? Agreed, if JC is willing
and has time to organize. (editor's note - I didn't.)
· Discussed providing lunch to allow for a shorter break and if
that would improve Swiss attendance. Noted that past events have always
lost money when serving lunch.
· Discussed Vasa Park location. Most expensive location with
negative feedback. Location could be depressing attendance.
· Hospitality was higher than normal but wanted to provide
continental breakfast given the daylight schedule. Agreed generally in room
that hospitality is a good expenditure and worth investing in.
· Reviewed feedback received from players via email.
