John – thanks to for sending this along.  Glad to see it once and know the date are all available but I don’t need to see it regularly.

I have always had two things on my mind; Could this be audited easily, and it look like that is true.  The other thing, as we have mentioned before, is worrying about all the loose cash.

I am forwarding the report Jenni Carmichael, the DIC, provided to me at the close of the recent Sweetheart sectional at Vasa Park.

The treasurer receives such a report at each tournament. 

The ACBL designed this format, and requires each DIC to use it.

 

As you will see, it is lengthy and complex.

I invite you to study it in as much or as little detail as you wish.

Keep in mind, however, that there is very little in it that we can control very much.

It therefore does not provide us a very effective tool for managing the financial aspects of the tournament.


But I suggest the three most important items of information in the report are: 

  1.. The attendance.  It gives us not only the total attendance for the tournament, but breaks it down by session and even by event. 
  2.. The funds, from the entry fees, which the DIC turned over to the sponsor (us).  That is a little tricky to read: only the cash and checks count.
The amount shown as “Total Delivered to Sponsor” includes some other things (like discounts and our free plays) which are not really of value to us.

  3.. “Sponsor Invoice.” The treasurer has to write a check for this amount and deliver it to the DIC.  Yes, the DIC gives us cash and players’ checks, and in exchange the treasurer has to write a big check to the ACBL.
 

I am sending this to you because I was told it was requested at the last board meeting.  Let me know if you wish to receive this report for future tournaments.  Providing it is not particularly burdensome, either for Jenni or for me.
