Folks,

We are going to Kent Commons West Gym for the Sun Tan sectional Saturday and Sunday, July 14-15, 2018.  We need to execute a contract soon.  In order to develop the agreed rental price and complete the booking, we must stipulate the hours of occupancy for Saturday and Sunday to be included in the contract.  I would prefer to achieve consensus on this in the coming few days via email, rather than deferring it to the Nov 6 board meeting.

I propose the following session times, set up and tear down times, and hours of occupancy, based on our planned daylight sessions.

Saturday occupy at 8:00am for set up

Saturday sessions:  10:30am and 3:30pm

Saturday vacate facility:  7:30pm

Sunday occupy facility:  9:30am

Sunday sessions:   10:30 and TBD (typically about 2:45 to 3:00pm)

Tear down:  6:30 - 8:00pm

Occupancy Saturday:  8:00am - 7:30pm (11.5 hours)

Occupancy Sunday:  9:30am - 8:00pm (10.5 hours)

As with our previous tournaments at Kent, we would avail ourselves of the facility's janitorial support service.

Please respond Yes or NO as to whether or not you are OK with the plan above.  if you are not OK with it, please explain the basis of your concern and propose a specific alternative.

Thanks,

Tim
