[SBU Board] Coordination -- D19 Open & Flt B GNT Finals

Folks,
I'd like to touch on a number of coordination points for the upcoming D19 Open & Flight B GNT Finals that will be co-located with the U446 NLM Sectional at the Bothell Union Hall, April 16 and 17.

Matt K,
Thank you for directing this event.  As previously coordinated, I will bring a cash bank of $100 each in $1 and $5 denominations on Saturday.  Attached is an Excel file I obtained from ACBL HQ containing the names of D19 players who qualified at the club level -- and thus are not subject to the $25 buy-in fee.  I have re-sorted the file so names appear in alphabetical order.  I will print out and bring a hard copy of the file to the event.  Arrangements are being made for one dedicated caddy for the GNT event on Saturday; no separate caddy is needed for the GNTs on Sunday.

Thank you for arranging for a dedicated caddy for the GNTs on Saturday.  Please let me know the name of the caddy who will be with us on Saturday and please be sure to alert her/him that the GNT session start times on Saturday are 1:00pm and 7:00pm -- unlike the earlier NLM event start times.

David Schmidt and Matt K,
Using personal funds, I have obtained a $200 cash bank for this event per Matt's specifications (see above). I will need reimbursement from David for this.  I understand David will not be at Bothell.  Natasha Brown's email of Feb 22, 2016 subj: "Revisions to Tournament Financial Procedures" states that in cases where there isn't someone present to write the check to the ACBL and give it to the DIC, a pre-paid envelope for mailing the check will be provided.  As David will presumably be mailing the check from Canada, I suggest he & I confirm with Matt how to properly address the envelope in which the check for amount due ACBL is to be mailed to Horn Lake.  David, please also see the note below to John Weinberg, U446 Treasurer, concerning Unit/District cost sharing.

Thank you for running the hospitality for this event.  It is understood players will be on their own for dining between sessions Sunday.

U446 Board Members,
Thank you to those who signed up to help with joint NLM Sectional and GNT set-up beginning at 8:00am Saturday and joint tear down on Sunday.

Steve K,
For these co-located District and Unit events, please make every effort to help with set-up at 8:00am Saturday and with tear down on Sunday.

John W,
At the most recent Unit board meeting, it was agreed that cost sharing of rent, janitorial service and hospitality between the Unit and District for these events will be pro-rated based on actuals # of tables played.  Since there will be no D19 checkbook or check signer available, I ask that you please arrange to make payment for these costs and I will have D19 Treasurer David Schmidt send the Unit a reimbursement check based on pro-rated costs.
