[SBU Board] Resolution of 2017 Tournament Lineup

Folks,

At the January Unit board meeting the Tournament Sites Committee put forth a recommendation on sites & dates for the Unit's 2017 tournaments.  The minutes of that meeting reflect concern by some board members with (a) the proximity off the dates for the summer (Aug 11-13) and fall (Sept 15-17) sectionals and, as a result, (b) making a firm commitment to the Kent Site.  

The Tournament Sites Committee would like to provide the full board an update on developments since the January board meeting.  

The proposed September dates were the only workable dates with Kent Commons.  Direction from the board, per the minutes, was to not make a contractual or financial commitment to Kent Commons for Sept 15-17, 2017 until we had had an opportunity to assess the results of the Sept 16-18, 2016 sectional at Kent.  John W contacted the manager of Kent Commons and explained our situation regarding a commitment to a tournament more than a year and half out.  While Kent Commons has substantial demand for their facilities, now that our Unit has already held one tournament there (2015) and has signed a contract for another (2016), John extracted a degree of preferred customer treatment.  Kent will not require a contract or payment at this time and will give us right of first refusal should another party want to rent the facility for Sept 15-17, 2017.  We need to assess the results of our Sept 2016 tournament soon after it concludes and advise Kent of our final decision for Sept 2017.  We'll readdress this situation should another party approach Kent Commons prior to Sept 2016 about renting the facility for Sept 15-17, 2017.

There have also been developments with the summer 2017 sectional.  Upon further review of 2017 dates at Forest Ridge (Aug 11-13, 2017 was originally proposed by the committee), Kim has advised July 14-16 is the only workable option for Forest Ridge in 2017.  While this would position our summer sectional between the Anacortes sectional and Summer NABC, in practice it would actually have the very same calendar relationship to those two tournaments as we have in 2016.  I contacted Matt about the July 14-16, 2017 dates and his response was that it would be fine.  Proceeding with July 14-16, 2017 would also address the concern expressed during the January board meeting that the proposed 2017 tournament lineup included only 5 weeks separation between Forest Ridge (Aug 11-13) and Kent (Sept 15-17).  Proceeding with July 14-16 would increase this separation from 5 weeks to 9 weeks.  

Taking the above developments into account, the Tournament Sites Committee envisions an updated 2017 tournament lineup as depicted in the attachment.  Please review this update prior to the March 7 Unit board meeting.  I plan to include this item on the agenda for the March 7.  When we are able to close on our tournament lineup for 2017, we can proceed with acquiring sanctions.
