[SBU Board] SBU Free Plays.xlsx

Hi all:

1. I will add Jennifer and Dee to this event’s free play list, as directed.

2. JC has given us a nice complete and detailed coverage of the fees on the web site. I tried to summarize that with a table that would be convenient for a harried Director selling entries.

3. It certainly would be good to have a general understanding of what merits a free play or two, something along the lines suggested by Eric. I think these are best handled by Hospitality and Tournament chairs handing out (authorizing) one or more of the free play slips now kept in the partnership box. This way the recognition could be immediate and used during the current event or whenever the recipient chooses. This approach seems to be working fine so far. Better than trying to edit a “Free Play” list during an event.

4. Re David Taylor – I don’t have any idea what his compensation is and whether it was intended to include loading and unloading the trailer (set up and tear down). President/Treasurer please tell me if I should put him on the list.

5. Student discounts?? Is not this covered by the age related discounts we already have set up?

Larry

Good points all. Would be interested in others' thoughts, comments and suggestions as well. By no means am I on a mission for free plays for David, however we should consider the collateral circumstances of his towing the unit trailer. As I understand, David is paid the amount that in the past was otherwise spent on a rental vehicle to tow the trailer. When he was a board member, his physical support to set up and tear down was a logical extension of his trailer towing. Now that he is no longer a board member, his physical labor in support of set up and tear down is a donation of service to the unit. The possibility of giving him free plays for this service would be in consonance with Eric's comments about free plays for help with set up and tear down -- something the board has discussed many times over the years but has never formally enacted.

I would personally be a fan of creating a list of a significant contributions and then the free play that goes with it. It seems like some people get noticed and get free plays and others might not. One occasion I remember is two years ago there was a call put out for help with tear down in exchange for free plays. Leah stayed to help tear down to the end which made her evening go a lot longer and then no free play ever materialized.

    Maybe something like the following:

Bringing homemade baked goods (significant amount): 1 free play
Helping with set up from start to finish: 1 free play
Helping with tear down from start to finish: 1 free play
Being a designated helper for hospitality, including refilling the water, grabbing ice/soda, and whatever else hospitality needs: 1 free play

I don't know enough about what David does vs how he is financially compensated to offer an opinion on him

I'm a big fan of the set up/tear down stuff because it can relieve pressures on the board. Many responsibilities of the board like all the stuff I do for the unit games/round robin/etc can generally be done at a time that's somewhat convenient. In comparison, we NEED people to stay and when people are tired or have other things going on then it can be a duty that is at a time where we're tired and have other things we should be doing and might also result in spouses having to stay etc. There have been times when it is clear the people who volunteered to stay really didn't want to and either they left and put a burden on everyone else or they stayed and were exhausted and clearly didn't want to be there.

We obviously don't want to hand out free plays like candy or it will make our financials bad, but I think judicious use can help alleviate specific pain points. Most of these duties should remain with board members, just seemed like something to consider.

We should also know how much we're charging students, both college and under and have that clearly stated for the directors.

Larry, add Dee Patrick for 2 free plays and Jennifer Ballantyne for all free plays (Jenny will probably only play one day). She will be working her butt off for us all day Monday. and has certainly paid her dues over time. we owe her several free plays.

I think David T should be free, too, but that's just my opinion.

        All,

In response to Larry's note below, thoughts on the extra $1 for grass roots for free plays:

As I recall, what we have settled on in the past is that non board members who receive free plays (in this case Sharon Erwin and David Wright) are not charged the additional $1 for grass roots. For board members, the additional $1 for grass roots is voluntary.

A question for all: perhaps we should consider the possibility of free plays for others who perform services for the unit? David Taylor comes to mind. He is compensated for towing the trailer, however he does other things such as lining up Bridgemates and supporting resolution of questions related to task tracker and insurance. Perhaps there are "regulars" who make and donate homemade items for hospitality?

Ann: Here is a draft of the usual free play list for the KO. Any additions or subtractions?

All – I have added the requested fee schedule to the bottom of the list. Any comments? I indicated that the Grass Roots dollar applies to each of the usual fees for Friday, which I think is what we decided.

Does the Grass Roots dollar apply to the free plays?
