Subject: [SBU Board] Fall NLM Proposal
To: Seattle ACBL Unit Board <sbuboard at mailman.celestial.com>

The board's Tournament Sites Committee -- Larry, Patti, David, Ann and Tim
-- has been giving priority to nailing down the plan for the 2017 fall NLM
sectional. Rather than delaying to our June 25 board meeting, we would
like to now bring forward to the full board our proposal for this event.

Over recent months we explored and considered various sites (old and new)
for this tournament. And, with D19 plans for the 2017 Whistler regional
and 2017 NAP Finals recently firming up, we were able to focus in on dates
for the NLM. Another element in our consideration was the experience of
the NLM sectional at SBC this past weekend. The post mortem of this event
assessed it as quite successful (not least due to excellent attendance),
but with a couple issues to address going forward -- marking of some
parking areas that are shared with adjacent businesses and seeking
accommodation of a few additional tables' capacity. Means to resolve these
issues have been identified. We also sought and received Nick's view. He
was quite positive, but noted he received some negative feedback about
cancellation of the SBC Saturday open pairs game and he would prefer the
NLM not be held on a weekend adjacent to his first Friday evening of the
month Swiss game (as it was in this case).
Nick is willing to host again in the fall.

Our Committee judged candidate sites for the fall NLM using established
suitability, availability and affordability criteria. We found SBC to be
the clear choice for the fall NLM. It worked very well this past weekend,
is available, and offers substantially lower cost than the alternatives.
We narrowed candidate dates to one weekend each in September, October and
November. Patti selected October 14 & 15 based on her view of what would
work best for players. Matt has confirmed he will support sanctioning of
the NLM on these dates.

While we plan to continue to explore means to realize the goal of
alternating NLMs between sites in north and south areas of the unit, there
is not presently a viable southerly site. In the interim and beyond, SBC
appears to be an ideal site. We would like to think in terms of
establishing a partnership with SBC for future NLMs.

This time we paid Nick $750 in rent and $60 for use of dealing machine for
pre-dupe'ing boards. Given that (1) alternative sites would cost the unit
several-to-many hundreds of dollars more and entail a more strenuous set up
and tear down effort, (2) Nick is leaning forward to the unit's benefit in
sacrificing SBC's Saturday open pairs game (something EBC has not been
willing to do), and (3) establishing a partnership with SBC for future NLMs
would be of substantial value to the Unit, the Committee seeks the board's
authorization to propose to Nick a rate of $1000 for hosting the fall NLM
on Oct 14 &15. The proposed arrangement would include the facility, SBC
pre-dupe'ing the boards, furnishing additional equipment necessary to
accommodate 32 sets of tables & chairs, and consumable supplies -- entry
forms, convention cards, score sheets, pencils, etc. It would not include
hospitality.

Please advise no later than this Tuesday, May 16, if you are NOT OK with
this plan, as the Committee would like to proceed with Nick, thereby
enabling sanctioning and marketing of the fall NLM.

Thanks,
Tim
