A rental fee for one or two uses per year is not worth the bother and 
paperwork involved in calculating, collecting, depositing, accounting, etc.
I favor allowing D19 to use them without charge, as an expression of good 
will; BUT on the understanding that if a coffeepot is lost, stolen, damaged, 
etc., D19 will replace it for us.

Folks,

For the fall 2015 NAP Finals, D19 borrowed two coffee makers from U446. 
Such a need arises when D19, which does not own hospitality equipment, 
conducts small events (NAP and GNT Finals) at a venue that does not have 
hospitality equipment.

This coming weekend, Oct 22 & 23, D19 will again be hosting NAP Finals at 
the Skagit PUD in Mount Vernon and would again like to borrow coffee makers. 
Arrangements for this have been made with Ann and David.

The purpose of this email is twofold: (1) to request your consent to again 
borrow this equipment, and (2) to consider appropriate rental fees for its 
use.

(1) It would be very helpful to again borrow the coffee makers this weekend. 
If this is not workable, the alternate is to buy coffee makers that would be 
used one or two times a year.  Please advise ASAP of objection to borrowing 
this equipment as I will otherwise have to purchase coffee makers this week.

(2) As I recall (John W please advise if otherwise), last year U446 
consented to use of the coffee makers for the NAPs, rent free -- which was 
very much appreciated.  Looking ahead, I see the need for coffeemakers for 
D19 NAP and GNT Finals on an occasional but recurring basis.  The times they 
would not be needed is for events conducted at the Vancouver Bridge Centre 
or in conjunction with Unit events (such as 2015 GNT Finals held with U451 
Firecrest Daffodil Sectional and 2016 GNT Finals held in conjunction with 
the U446 NLM at Bothell).  The spring 2017 D19 GNT Flt A & C Finals will be 
a standalone event at Bothell and will require hospitality equipment.

Given prospective once or twice a year use of two U446 coffee makers, I 
think it would be appropriate for D19 to pay the Unit a rental fee if it is 
permitted to borrow them.  Perhaps Ann and John W could work out a 
reasonable per-use rental charge based on the cost of coffee makers and 
D19's share of use.
