Please add the subject item on the agenda for Monday's Board meeting. I anticipate it will be brief. We are required to submit rental forms along with a $500 damage deposit check by August 24, 2015 (4 weeks from today) to guarantee the facility. I have the materials in my possession and will coordinate with John W on signing the forms and submitting the check.
What the Board needs to address Monday at our meeting is the session start times -- which in turn drive the facility occupancy times that are included in the contract. Simplest would be to have the same start times as we did this past May. If we were to consider earlier start time(s), e.g. on Saturday -- which I am neither advocating nor discouraging here -- I believe we would have to ensure availability of the planned overflow space for Saturday's first session (as we've discussed in the past given the unexpectedly large attendance on Sat last May at Kent). I've asked Doug Siegert, the Manager, to include the Green Room for us in the rental to provide the overflow space, and it is available for overflow for set up and use for a 1pm session Saturday. However, I recall him saying some time ago the Green Room is NOT available prior to about 11am that day -- which would rule out something like a 10:30am session. I've asked Doug to let me know the status of these things this week so we have this information available for the Board meeting Monday evening.
